We are committed to maintaining the trust you put in us when you access mental health services through All Kinds Club Counselling. The following outlines our Privacy Policy.

“Client” or “you” means any individual who visits our website, contacts our team, or receives services through All Kinds Club Counselling. 

“Company”, “we” or “us” means All Kinds Club Counselling and its directors, contractors, employees, and representatives.

This policy does not apply to clinical records, which are stored and protected separately in accordance with the Personal Health Information Protection Act (PHIPA), and managed through Jane App.

a) Information You Voluntarily Provide: 

  • Contact & Inquiry Forms: When you reach out for a consultation or service, we collect your name, email address, phone number, and any other details you provide. 

  • Intake Process: For those beginning therapy, additional information may be collected in our electronic health records system, which is PHIPA-compliant. 

  • Email Subscriptions: If you opt into our newsletter or interest lists, we collect your name and email address. 

b) Information Automatically Collected: 

When you visit our website, certain technical and usage information may be collected through website analytics technologies, including Google Analytics. Depending on your cookie preferences, this information may include:

  • Pages visited and general website interactions

  • Time spent on our website

  • Referral sources, including search engines and advertisements

  • Browser type, device information, and approximate geographic location

7. EMBEDDED CONTENT

Clinical notes and health information are never shared outside our electronic health records system and are protected under PHIPA. 

We may also share non-identifying, aggregated data for purposes such as improving service delivery or analyzing website traffic patterns. 

We use third-party website and analytics services, including Squarespace and Google Analytics, to operate our website and evaluate website traffic. We also use Google Ads for advertising and campaign measurement. Depending on the services enabled and the visitor’s consent preferences, these providers may receive limited technical information, such as website interactions, browser information, and cookie identifiers.

Our intention is to limit advertising-related data sharing to information necessary for permitted campaign measurement and to avoid sharing identifying client details, clinical information, or the contents of therapy inquiry forms with advertising providers. These providers process information according to their applicable privacy policies and service agreements, subject to our contractual arrangements and applicable privacy law.

Legal Obligations 

We may disclose personal information where required to do so by law, court order, or regulatory authority, or when we believe in good faith that such disclosure is necessary to:

  • Protect the rights, property, or safety of our clients or others; 

  • Enforce our clinic’s terms, policies, or agreements. 

Business Transitions 

We reserve the right to share information in connection with, or during negotiations of, any proposed or actual merger, purchase, sale, or any other type of acquisition or business combination of all or any portion of our assets, or transfer of all or a portion of our business to another business. 

Protection of Therapy Inquiry Information

We recognize that individuals contacting All Kinds Club Counselling may disclose sensitive personal information, including details about their mental health, relationships, gender identity, sexuality, or other personal experiences.

Information submitted through our therapist-matching forms, contact forms, or other inquiries is treated as confidential and handled in accordance with applicable privacy laws and professional obligations.

Depending on the nature of the information and the circumstances in which it is collected, inquiry information may constitute personal health information and will be protected accordingly.

Access to inquiry information is limited to authorized team members and service providers who require it to respond to inquiries, coordinate services, or fulfill legitimate administrative responsibilities.

We do not intentionally share the contents of therapy inquiries, clinical descriptions, or identifying client information with advertising platforms for targeted marketing.

Where third-party service providers are involved in collecting, transmitting, or storing inquiry information, we take reasonable steps to ensure appropriate confidentiality and security safeguards are in place. 

9. PRIVACY OF THERAPY INQUIRIES AND ADVERTISING MEASUREMENT

We recognize that seeking counselling is a personal and sometimes sensitive experience.

When you submit a therapist-matching or counselling inquiry, the information you provide is used to respond to your request, assess your service needs, and assist with appropriate therapist matching.

Advertising platforms are not used to review or assess the personal details you provide in your inquiry.

We aim to ensure that our advertising and analytics configuration does not disclose personal identifiers, clinical descriptions, or other sensitive inquiry details to advertising platforms.

Information submitted through our forms is handled according to our confidentiality, privacy, and record-management practices, including applicable professional and legal obligations.

Website analytics and advertising measurement are separate from clinical assessment, treatment planning, and the management of clinical records.

10. RETAINING YOUR DATA

All Kinds Club Counselling retains personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, meet legal and regulatory obligations, and support the appropriate administration of our services.

Information submitted through website inquiries or therapist-matching forms is retained for the period necessary to respond to inquiries, facilitate therapist matching, and complete reasonable administrative follow-up.

Where an inquiry results in the establishment of a therapeutic relationship, relevant information may become part of the client’s clinical record and will be retained in accordance with applicable professional, legal, and regulatory requirements, including those established by the College of Registered Psychotherapists of Ontario (CRPO).

When personal information is no longer required, it is securely deleted, destroyed, or anonymized, as appropriate and subject to applicable retention obligations.

 

11. PROTECTING YOUR DATA 

We implement and maintain reasonable administrative, physical, and technical security safeguards to help protect information about you from loss, theft, misuse and unauthorized access, disclosure, alteration and destruction. However, transmission via the internet is not completely secure and we cannot guarantee the security of information about you. 

While we will use commercially reasonable efforts to ensure the security of all information, including Financial Information and Personal Information, we expressly disclaim any liability for unauthorized access to or use of our secure servers and/or any all Personal Information and/or Financial Information stored therein, and you agree to hold us harmless for any damages that may result therefrom. The third party services that we use to store data are equipped to monitor unauthorized access and share with us any known system breaches. Additionally, if, at any point, we become aware of a data breach through one of the third parties listed above, or by our own measures, we will immediately contact all affected parties and also take immediate action in accordance with the rules and regulations of the authority having jurisdiction. 

 

12. EMAIL SUBSCRIPTIONS

You can unsubscribe from promotional emails at any time by clicking the link at the bottom of our messages. Transactional emails related to appointments or services will still be sent as required. 

 

13. APPLICATION OF PRIVACY POLICY

This policy applies to information collected through our Site. It does not apply to information gathered in therapy sessions, which are governed by clinical confidentiality standards and separate informed consent documentation. 

 

14. CHANGES TO THIS POLICY 

We may update this Privacy Policy from time to time. We encourage you to review it periodically. Continued use of our Website after changes are posted indicates your acceptance.
